Assistant Facilities Manager

Job Description

  • Manage and oversee day-to-day facilities operations and maintenance activities across assigned sites.
  • Plan, coordinate, and monitor preventive, corrective, cyclical, and ad-hoc maintenance works.
  • Ensure all M&E systems, building services, and facilities remain operational and compliant.
  • Conduct routine inspections to ensure service quality, safety compliance, and operational readiness.
  • Monitor fault rectification, incident response, and service recovery within KPI timelines.
  • Ensure proper execution of maintenance schedules and operational programmes.
  • Act as the primary operational contact point for clients and Employer Representatives.
  • Attend site meetings, operational reviews, and coordination meetings.
  • Respond promptly to client feedback, complaints, and operational issues.
  • Coordinate with authorities, consultants, contractors, and service providers on operational matters.
  • Maintain strong client relationships and ensure high customer satisfaction.
  • Supervise FM Executives, technicians, subcontractors, and specialist vendors.
  • Monitor contractor performance, work quality, safety compliance, and service standards.
  • Review work permits, risk assessments, method statements, and maintenance reports.
  • Ensure vendors comply with contractual obligations, SOPs, and statutory requirements.
  • Prepare operational reports, maintenance updates, KPI reports, incident reports, and service records.
  • Monitor work orders, quotations, procurement requests, and maintenance records.
  • Ensure proper documentation and timely updates in the Computerised FM System.
  • Track operational trends and recommend corrective or preventive actions.
  • Support operational improvement initiatives, digitalisation, and productivity enhancement programmes.
  • Assist in planning and implementation of improvement works and upgrading projects.
  • Ensure compliance with workplace safety, fire safety, environmental, and statutory regulations.
  • Support sustainability and energy-saving initiatives.

Job Requirement

  • Degree in Facilities Management, Engineering, Built Environment, or related discipline.
  • SIFMA CFME accreditation preferred - Tier 3
  • Minimum 5 years relevant FM experience with supervisory responsibilities.
  • Experience in IFM operations, institutional, commercial, or government facilities preferred.
