Bid and Proposal Manager

SPARK Architects is seeking a highly organised and driven Bid & Proposal Manager to join our team in Singapore. This role is suited to someone with strong experience in architectural, design, engineering, or built-environment tenders and a keen eye for developing compelling, well-structured proposals.

You will play a key role in managing SPARK’s bid, tender, and proposal process from opportunity identification through to submission, working closely with our Directors, Architects, Designers, and external consultants to develop high-quality submissions that clearly communicate SPARK’s design capabilities and project experience.

Key Responsibilities:

· Lead and manage the end-to-end bid and proposal process, from initial opportunity assessment to final submission.

· Monitor and coordinate incoming RFPs, RFQs, ITQs, tenders, design competitions, and consultancy opportunities.

· Review tender requirements, submission criteria, scope, deliverables, timelines, and contractual requirements.

· Develop bid strategies and submission plans in collaboration with the Directors and project teams.

· Coordinate inputs from architects, designers, consultants, and other stakeholders to ensure timely and complete submissions.

· Prepare and edit technical proposals, capability statements, project profiles, methodologies, fee proposals, presentations, and other bid documentation.

· Ensure proposals are aligned with SPARK’s brand, design philosophy, project experience, and strategic positioning.

· Develop compelling project narratives and written content that communicate SPARK’s design approach and value proposition.

· Maintain and continuously develop a library of project information, CVs, credentials, case studies, awards, photography, and standard proposal content.

· Coordinate proposal layouts and work with the design team to ensure submissions are visually strong and professionally presented.

· Manage bid schedules, deadlines, submission portals, clarifications, addenda, and final document checks.

· Work with management on fee and commercial submissions, including coordinating fee information and ensuring consistency across documents.

· Track bid outcomes and maintain a database of opportunities, submissions, results, and lessons learned.

· Support business development activities, including market research, client research, presentations, and pitch materials.

· Identify opportunities to improve SPARK’s proposal processes, templates, workflows, and overall bid success rate.

Qualifications

· Degree or diploma in Architecture, Design, Business, Communications, Marketing, Construction, or a related discipline.

· Relevant experience in bid management, proposal management, business development, marketing, or tender coordination, preferably within an architecture, design, engineering, construction, or real estate environment.

· Strong understanding of architectural and built-environment project delivery and terminology.

· Excellent written and verbal communication skills, with the ability to develop clear and persuasive proposal content.

· Strong project management and organisational skills, with the ability to manage multiple deadlines simultaneously.

· Excellent attention to detail and a high standard of written and visual presentation.

· Proficiency in Microsoft Office, particularly Word, PowerPoint, and Excel.

· Experience with Adobe Creative Suite or similar design software is an advantage.

· Comfortable working with senior management and coordinating across multidisciplinary teams.

· Ability to work independently, take ownership of deadlines, and remain composed under tight submission timelines.

· A proactive, resourceful, and collaborative working style.
