Highly organized, proactive, and adaptable Business and Operations Specialist to support the day-to-day execution of business operations across multiple functions. This role is ideal for someone who enjoys variety, thrives in a fast-paced environment, and is energized by helping teams stay organized, efficient, and moving forward. The Business and Operations Specialist will play a critical role in keeping the organization running smoothly by supporting projects, processes, communication, scheduling, reporting, administrative functions, and cross-departmental initiatives. This individual will have visibility in many areas of the business and will serve as a key connector between teams.ESSENTIAL JOB FUNCTIONS:
Operational Support
1. Assist with the coordination and execution of day-to-day business operations.
2. Monitor workflows, identify process gaps, and recommend improvements.
3. Maintain operational documentation, procedures, and internal resources.
4. Support implementation and management of operational systems and tools.
Project Coordination
1. Track deliverables, timelines, and action items across multiple projects.
2. Coordinate meetings, prepare agendas, document notes, and follow up on next steps.
3. Support cross-functional initiatives and ensure teams stay aligned and on schedule.
4. Assist with project planning and execution from inception through completion.
Administrative & Organizational Management
1. Manage calendars, schedules, and logistical arrangements as needed.
2. Organize files, records, contracts, and operational documentation.
3. Assist with vendor coordination, purchasing, and administrative processes.
4. Support onboarding and offboarding activities when applicable.
Communication & Collaboration
1. Serve as a point of contact between departments to facilitate communication and problemsolving.
2. Prepare reports, presentations, and status updates for leadership and stakeholders.
3. Coordinate internal communications and ensure information is distributed effectively.
4. Building strong working relationships across all levels of the organization.
Data & Reporting
1. Collect, organize, and maintain operational data.
2. Create and update dashboards, reports, and tracking systems.
3. Assist leadership with data analysis and reporting to support decision-making.
4. Ensure accuracy and completeness of operational records.
Special Projects
1. Take ownership of various operational initiatives as business needs evolve.
2. Support leadership with ad hoc requests and strategic projects.
3. Contribute to the development of scalable processes that support organizational growth.
OTHER JOB DUTIES:

EDUCATION, TRAINING AND EXPERIENCE:
1. 2+ years of experience in operations, project coordination, administrative support, or related role required.
2. Proficiency with Microsoft Office, Google Workspace, and project management tools required.
3. Experience working in a growing or fast-paced organization is preferred.
4. Familiarity with CRM, project management, and operational software platforms is preferred.
5. Experience supporting cross-functional teams and company-wide initiatives is preferred.
