MEFMA Overview
The Middle East Facilities Management Association (MEFMA) is a non-profit, professional regional association headquartered in Dubai. It is dedicated to developing the Facility Management (FM) industry across the Middle East.
MEFMA supports the sector through a wide range of activities, including:
• Organizing FM events and conferences
• Building and delivering professional FM training courses and exams
• Publishing industry reports and thought leadership content
• Operating as a membership-based association for FM professionals and entities
MEFMA serves Middle East countries and works daily with a diverse group of stakeholders across the region. Despite its broad regional reach, MEFMA operates with a small team of highly capable professionals, each playing a critical role in delivering impact efficiently and at high standards.
Key Qualities and Expectations
This is a multifaceted role combining event planning and execution, marketing, communications, digital engagement and brand positioning. The position is responsible for developing and implementing marketing activities while supporting the planning and delivery of MEFMA’s events and ensuring that all activities effectively support MEFMA’s brand and overall growth objectives.
The role requires a blend of strategic thinking, creative execution, strong organizational and time-management skills, attention to detail, and effective communication, coordination, and negotiation abilities.
An ownership mentality and a flexible, responsible, proactive, and can-do attitude is a baseline requirement for all MEFMA team members, as each is an ambassador of MEFMA to our members, partners, vendors, and the industry.
Roles & Responsibilities
1. Events Responsibilities:
• Event Planning and Execution: Support the Events Manager in the planning, coordination, and execution of all MEFMA events.
• Stakeholder Communication & Coordination: Coordinate with internal teams and external stakeholders to ensure clarity and execution of all event requirements.
• Vendor/Supplier Management: Identify, communicate, negotiate, and manage relationships with event vendors, suppliers and partners to obtain quotes, coordinate services, and ensure deliverables.
• Industry Partnerships: Liaise with industry-supporting events and manage barter agreements, ensuring clarity on deliverables and mutual benefits.
• Logistics and Operations: Assist and coordinate event logistics and operations (preevent, onsite and post-event) including but not limited to:
- Venue bookings and arrangements
- Registrations process
- Attendee, speaker, sponsors, and partners communications
- Event websites & collateral updates
- Marketing & promotional materials
• On-Site Support: Provide support during events to ensure smooth execution
• Database Maintenance: Maintain accurate and up-to-date records of event contacts/database/ logs, detailed event checklists, timelines, etc
• Translation: Manage the translation & review process of event-related documents and reports
• Equipment Management: Manage the storage and inventory of event equipment and materials
• Proposals Preparation: Prepare and follow up on events proposals, contracts & quotations
• Industry Events Participation: Attend and cover industry events locally and across the region, when required
2. Marketing Responsibilities:
• Marketing Strategy: Develop and implement a comprehensive marketing strategy aligned with MEFMA’s objectives
• Brand Management: Cultivate a strong brand identity through consistent messaging, visual design, and internal alignment, ensuring a unified brand experience across all platforms
• Digital Marketing: Manage website, social media, email campaigns, and SEO activities
• Public Relations: Manage media relations, press releases, and relevant publications
• Website Management: Manage content creation and updates, collaborate with the web developer, and ensure all website pages are accurate and up to date
• Graphic Design: Oversee marketing and communication design requirements
• Marketing Growth & Partnerships: Identify new marketing opportunities and strategic partnerships to expand MEFMA’s reach
• Advertising & Promotions: Manage advertising activities and generate revenue through promotional opportunities
• Marketing Analytics & Reporting: Track marketing performance and prepare regular reports
• Marketing Budget: Prepare and manage the marketing budget effectively
• Marketing & Events Correspondence: Respond to inquiries received through email, website, and social media channels
• Marketing Trends & Innovation: Stay updated on relevant marketing trends, tools, and technologies
• Regional Representation: Represent MEFMA at relevant meetings, events, workshops, and conferences.
Other duties as required and assigned by the Events Manager and Executive Director
Requirements:
- Must be an Arab National
- Excellent communication skills, with fluency in both Arabic and English (spoken and written)
- Minimum 3 years of relevant experience in marketing, events, communications or a similar role
- Strong attention to detail and organisational skills, with the ability to manage multiple priorities and meet deadlines
