Executive Assistant, FP&A
Support an executive in the Financial Planning & Analysis team by managing complex calendars, processing expense reports, preparing confidential correspondence, arranging travel, coordinating stakeholders, organizing meetings and leadership events, documenting agendas and action items, improving administrative processes, and providing occasional personal or clerical support.
Responsibilities
- Provide administrative support to leaders.
- Manage complex executive calendars and scheduling requests.
- Process expense reports and prepare confidential correspondence.
- Arrange travel and coordinate calendars for leadership direct reports.
- Develop meeting agendas and document notes, decisions, and action items.
- Plan and execute leadership offsites, team events, and gatherings.
- Coordinate vendors, travel, conference registrations, and company events.
- Design and implement processes to improve collaboration and efficiency.
- Perform occasional personal tasks, errands, and other clerical duties.
- Maintain availability during the traditional work week with occasional flexibility for urgent matters.
Requirements
- 3-5 years of experience in an executive administrative role.
- Experience supporting technology or software teams is desirable.
- Exceptional written, verbal, and interpersonal communication skills.
- Strong attention to detail.
- Discretion and confidentiality with sensitive information.
- Ability to prioritize conflicting needs and manage time effectively.
- Experience planning and executing team offsites or large-scale events.
- Content creation skills for decks, agendas, and executive communications.
- Proficiency in Google Workspace.
- Ability to work independently while keeping stakeholders informed and aligned.
