Executive Assistant
You will support two to three executives by managing calendars, coordinating domestic and international travel, preparing and reconciling expense reports, coordinating internal and external meetings, drafting correspondence and presentations, monitoring deadlines and deliverables, and acting as a liaison with stakeholders while handling confidential information with discretion.
Responsibilities
- Own and manage complex executive calendars, coordinating meetings, resolving conflicts, and anticipating needs so leaders are fully prepared.
- Arrange and oversee domestic and international travel, including itineraries, logistics, and last-minute adjustments.
- Prepare, track, and reconcile expense reports accurately and timely.
- Coordinate internal and external meetings, including agendas, materials, participants, and follow-ups.
- Draft, edit, and prepare correspondence, presentations, and other documents for executives.
- Monitor deadlines, action items, and deliverables.
- Act as a liaison between executives and internal and external stakeholders.
- Support executives in prioritizing time and staying aligned on key objectives.
- Support team events, offsites, and leadership initiatives.
- Partner with other Executive Assistants to ensure coverage, handoffs, and collaboration.
- Handle sensitive and confidential information with judgment and care.
Requirements
- 7-12 years of experience supporting C-level executives; financial services or high-growth company experience strongly preferred.
- Ability to manage competing priorities in a fast-paced environment.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills with a high degree of professionalism.
- Proficiency with Microsoft Office Suite; familiarity with Zoom, Slack, and Concur is a plus.
- Proactive, service-oriented mindset with a no-task-too-small attitude.
