Responsibilities
- 1. Executive Support Manage the Senior Manager's calendar, appointments, meetings, and daily schedule. Organize and coordinate internal and external meetings. Prepare meeting agendas, presentations, reports, and supporting documents. Follow up on action items and ensure deadlines are met. Prioritize requests and manage competing priorities effectively. 2. Communication & Coordination Act as a key point of contact between the Senior Manager and internal/external stakeholders. Manage incoming and outgoing correspondence, emails, and communications as required. Coordinate with different departments to collect information and provide timely updates. Maintain professional communication and ensure confidentiality of sensitive information. 3. Meeting & Travel Management Arrange business travel, accommodation, transportation, and itineraries. Coordinate meetings, workshops, conferences, and business events. Prepare travel documents and ensure all logistical arrangements are completed on time. Support expense management and reimbursement processes. 4. Reporting & Documentation Prepare presentations, reports, trackers, and management summaries. Maintain accurate records and confidential files. Consolidate information from different teams for management review. Monitor deadlines, deliverables, and follow-up actions. 5. Business & Project Support Support the Senior Manager in the coordination of key business initiatives and projects. Track project milestones and follow up with relevant stakeholders. Assist in preparing management reports and business reviews. Conduct basic research and gather information when required. Support special assignments and ad-hoc business requirements. 6. Office & Administrative Coordination Coordinate with HR, Finance, IT, Facilities, Procurement, and other departments when required. Support the organization of management events and activities. Ensure administrative requirements are handled efficiently. Identify opportunities to improve administrative processes and increase efficiency.
SKILLS
Must have
- Bachelor's degree in Business Administration, Management, or a related field. 3–7 years of experience in Executive Assistant, Personal Assistant, Administrative, or similar roles. Experience supporting senior management or executives is preferred. Excellent written and verbal communication skills. Strong organizational and time-management skills. Excellent proficiency in Microsoft Office, particularly Outlook, Excel, PowerPoint, and Word. Strong attention to detail and follow-up skills. Ability to handle confidential and sensitive information.
