Responsible for providing administrative and executive support to the directors of the Immunology, Rare Diseases, Oncology, Transplant, and Medical areas, ensuring the efficient organization of daily operations. Acts in the management of calendars, travel, expenses, meetings, events, and communications, in addition to preparing reports, presentations, and corporate documents. Also coordinates activities between departments, maintains databases, and tracks demands to ensure compliance with deadlines and business objectives, promoting effective relationships with internal and external stakeholders.

Key Responsibilities:

  • Execute a range of administrative tasks for the directors of the Immunology, Rare Diseases, Oncology, Transplant, and Medical areas (manage calendars, administer expense reports, book travel, and support events).

  • Gather and analyze relevant information for the supported areas.

  • Prepare reports, manuals, agendas, correspondence, and memos according to general company practice guidelines.

  • Establish and maintain departmental databases and develop spreadsheets important to the department.

  • Assist in meeting planning and necessary preparation work, i.e., drafting agendas and broader communications.

  • Coordinate details of departmental meetings and/or internal and external conferences and events.

  • Prepare materials in final versions, use frequent technical terminology, and combine material from various sources.

  • Manage business travel plans.

  • Screen/redirect calls, receive messages, sort and distribute correspondence.

  • Coordinate activities between departments and follow up to ensure requests are met.

  • Process expense reports and invoice payments.

  • Interface with other assistants to share and coordinate workload.

About You:

  • Completed Bachelor's degree.

  • Intermediate (B1) English level or higher.

  • Experience in executive and administrative support activities.

  • Excellent organizational skills, with the ability to manage multiple priorities and demands simultaneously while maintaining a high level of attention to detail.

  • Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and digital collaboration tools.

  • Excellent interpersonal skills, with the ability to build strong relationships with internal and external stakeholders.

  • Ability to act with autonomy, discretion, and confidentiality when handling sensitive information.
