JOB SUMMARY

The Grant Accountant supports the financial administration, monitoring, reconciliation, and reporting of federal, state, local, and private grants awarded to Midland College. Working under the direction of the Associate Director of Grant Accounting, this position helps ensure grant transactions are accurate, properly documented, recorded timely, and consistent with grant requirements and College policies. The Grant Accounting Specialist works closely with grant directors and College departments to monitor budgets, review financial activity, prepare routine reports and reimbursement documentation, and resolve accounting discrepancies. This position is well suited for an accounting professional who is detail-oriented, organized, interested in grant compliance, and eager to develop expertise in governmental and higher education accounting

ESSENTIAL FUNCTIONS

  • Support the financial accounting and reporting of assigned federal, state, local, and private grants under the direction of the Associate Director of Grant Accounting
  • Monitor grant budgets, expenditures, and account activity; identify discrepancies, unusual transactions, or potential budget concerns for review
  • Review grant transactions and supporting documentation for mathematical accuracy, appropriate approvals, available budget, and consistency with grant and College requirements
  • Reconcile assigned grant accounts and general ledger activity to financial reports and supporting documentation
  • Prepare routine financial reports, reimbursement requests, drawdown documentation, and invoices for review and submission by the Associate Director of Grant Accounting
  • Prepare journal entries, budget adjustments, account corrections, and other accounting transactions with appropriate supporting documentation
  • Maintain accurate, complete, organized, and audit-ready financial records for assigned grants
  • Track grant reporting, reimbursement, and other financial deadlines; communicate upcoming needs to the Associate Director and grant personnel
  • Assist with establishing grant accounting structures, including department and general ledger account setup, budgets, and system controls
  • Assist grant directors and departmental personnel with routine questions regarding grant balances, expenditures, documentation, and financial procedures
  • Research grant terms, institutional policies, and applicable financial requirements; elevate complex compliance questions to the Associate Director
  • Assist with month-end and year-end closing activities related to grants and assigned accounts
  • Prepare schedules, reconciliations, and supporting documentation for internal and external audits
  • Assist with year-end financial reporting, state reporting, and schedules supporting the College's audited financial statements
  • Perform general ledger maintenance for assigned grant accounts
  • Participate in training and professional development related to grant accounting, compliance, and College systems
  • Provide backup support for other Accounting department functions as assigned
  • Assist the Associate Director of Grant Accounting, Director of Accounting, and Associate Vice President of Accounting Services with reports, projects, and financial analysis
  • Perform other duties as assigned
