Head of Corporate Administration
Lead the corporate administration function as a department head reporting directly to the COO. Oversee general affairs, labor management, legal affairs, governance, registrations, filings, audits, internal processes, and organizational development.
Responsibilities
- Oversee general affairs, including clerical work and facility management
- Operate shareholder meetings, board meetings, management meetings, and the risk management committee secretariat
- Manage commercial registrations and regulatory registrations and filings
- Manage contracts and company seals
- Establish crisis management systems, including disaster preparedness and business continuity planning
- Improve business processes and promote internal initiatives
- Oversee labor management and personnel information management
- Manage securities sales representative registrations
- Review standard contracts
- Revise internal rules and regulations
- Handle internal legal consultations in coordination with external counsel
- Coordinate corporate administration with finance, accounting, and corporate planning
- Support audit responses and reporting
- Build the optimal organizational structure as the business expands
Requirements
- Experience in an administrative department or corporate function
- Ability to structure processes while working hands-on as a player-manager
- Task management skills for proactively handling multiple tasks
- Ability to communicate smoothly with internal and external stakeholders
- Positive attitude toward enjoying a fast-changing environment
- PC skills centered on Word and Excel
- Native-level Japanese proficiency
- Experience with registration and filing procedures at a financial instruments business operator
- Experience in an administrative department or corporate function at a listed company or listed subsidiary
- Experience in an administrative department or corporate function in a small organization
- Team leadership or management experience
- Business-level English proficiency
