Position summary: This position is primarily responsible for providing support to the Director of Legal Talent & Human Resources and the HR Manager for the Asia region. Specific duties include, but are not limited to, the following:
Position responsibilities:
- Assist with Workday system entries (hires, terminations, title changes, transfers, supervisor changes, address changes, etc.), as requested.
- Assist in creation of personnel file labels and audit files across the region regularly.
- Code HR invoices and submit to accounting for processing.
- Assist with incoming verifications of employment for various offices, as needed.
- Coordinate and track employee referral bonus program for Asia, seeking approval from HR Manager or Director of Legal Talent & Human Resources before submitting to local DOA for payroll processing.
- Open/close job requisitions under direction from HR Manager or Director of Legal Talent & Human Resources. Assist with various aspects of recruiting process such as scheduling interviews, coordinating background and conflicts checks, drafting offer letters.
- Assist HR (and Legal Talent, where required) team with updates to orientation materials; craft orientation schedules for new hires and conduct orientation meetings as needed.
- Create and send change forms for Asia offices as needed.
- Assist in tracking annual evaluations, ensuring that all completed evaluations are signed and returned.
- Assist in creating and updating training materials/PowerPoint presentations/videos needed by HR.
- Assist HR management team and directors of administration with hiring agency communications. This includes responding to agency requests for agreements, filing correspondence in Worksite, creating agreements, updating agency tracking database, entry of new agencies into Workday (including uploading signed agreement to Workday) working with agencies and HR systems team to troubleshoot agency Workday account issues and processing invoices for payment.
- Assist with entering completed training data in Workday or LMS as needed. Report on this data in the case of required training initiatives.
- Help to draft and edit Asia policies and procedures, working closely with US and Asia based HR to update policy portal.
- Assist HR management with gathering regional salary data, helping HR Manager to complete salary surveys and analyze results compared to incumbent data.
- Assists with job description updates working closely with the firmwide Senior HR Advisor based in the US. Maintain Asia job description index.
- Acts as point of contact for employee HR questions, routing questions as necessary if more information is needed.
- Help HR team conduct/collect exit interview data and analyze results.
- Assist Director of Legal Talent and Human Resources with special projects as assigned or required.
- Exercises care in the course of work to prevent injuries to oneself and co-workers.
- All other duties as assigned or required.
Skills and experience:
Required:
- After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage and other firm applications
- Available to work overtime, as required
- Minimum 2 years’ HR experience
Preferred:
- College Degree
- Prior law firm experience helpful
