HR Manager

Person specification:

Education: Bachelor’s degree, recognized HR qualification and/or professional accreditation preferred.

Experience:

  • At least 10 years’ experience in a supportive HR role, understanding of UAE labour law essential.
  • School HR experience essential.
  • Knowledge of the UAE educational regulatory authorities, including but not limited to, KHDA and ADEK.
  • Knowledge of HRMS an advantage.

Primary job purpose:

To oversee the HR operations, employee life cycle, compliance with policies and procedures, demonstrate HR best practices and lead a team of HR representatives.

Key relationships (internal and external):

All school-based staff, Central Office HR Department, HR representatives network, external agencies and regulatory bodies.

Key accountabilities:

  • Empower HR representatives to be the single point of contact on all school staff on HR issues, including (but not limited to) contracts, employment terms and conditions, payroll, housing, HR policies, leave and entitlements.
  • Oversee the onboarding process for all incoming staff, including pre-employment communication to ensure new starters are aware of the requirements for their role and for working and living in the UAE, liaising with IT for relevant systems/email set-up and processing staff ID cards.
  • Develop and inspire the HR representatives to deliver effectively in their roles and achieve their potential.
  • Oversee the new starter inductions in school for all new staff – teaching and non-teaching.
  • Oversee the compliance to coordinate visa, work permit and ADEK applications, renewals and cancellations and related processing for new staff, ensuring they are aware of the requirements, and avoiding fines or penalties for non-compliance.
  • Work closely with the CO Recruitment Manager to ensure all recruitment activity is in line with the staffing budget and recruitment policy.
  • Ensure the HR representatives are issuing the correct offer letters, contracts, contract renewals and amendments and associated documentation in line with company-wide terms and conditions and policies.
  • Coordinate the schools’ probationary, performance review and appraisal cycles to support school leadership in achieving a high-performance culture, and advise school leaders on correct adherence, timelines, and expectations.
  • Oversee the pre-employment due diligence checks for all staff in accordance with the policies and procedures.
  • Support school leaders with investigations and disciplinary management of staff, ensuring accurate records of cases are kept within confidential staff files.
  • HR KPIs – collate and analyse people metrics based on HR KPI requirements and provide reports as required by Central Office, including but not limited to absence, turnover, professional development, recruitment activity, disciplinary and performance management cases.
  • Keep the schools’ organisation charts up to date and ensure that Central Office are aware of any changes.
  • Oversee exiting staff as leavers and ensure all associated exit procedures are completed, including calculations of full and final settlements, visa cancellations and housing procedures.
  • Ensure all HR representatives are maintaining up to date confidential employment records and staff files on site at school.
  • Ensure all HR representatives are maintaining HR/employee information systems, both hard copy files and electronically through HRMS, ensuring records are accurate and up to date with all key employment documentation uploaded on HRMS. Generate reports through HRMS as requested by school leaders or Central Office.
  • Participate in company-wide HR meetings in order to share knowledge, best practice and to ensure consistency within group standards. Provide support to other HR team members as required.
  • Promote the culture of HR as an employee advocate and ensure all issues are addressed effectively and handled confidentially.
  • Undertake any other duties commensurate with the role, as reasonably requested by the management.

OSH roles and responsibilities include:

  • Bring up OSH concerns to the attention of his direct supervisor or OSH department.
  • Exercise effective supervision of their pupils and know the procedures in respect of fire, first aid and other emergencies, and carry them out.
  • Follow the OSH procedures applicable to their area of work.
  • Give clear oral and written health and safety instructions and warnings to students as often as necessary.
  • Ensure the use of personal protective equipment and guards where necessary.
  • Make recommendations to their heads of department/school principal on OSH equipment and on additions or necessary improvements to plant, tools, equipment, or machinery.
  • Ensure that personal items of equipment (electrical or mechanical) are not brought into the school without prior authorization.
  • Regularly check their classrooms for potential hazards and report any observed to the facilities manager.
  • Report all accidents, defects and dangerous occurrences to their head of department in the first instance.
  • Be vigilant in work area, identify and report to their supervisors about imminent dangers, hazards or concerns to environment, health and safety.
