Reporting to the Director of IS Applications, the IS Revenue Cycle Application Manager will manage and coordinate the daily activities of the Application team responsible for software design, build, testing, validation, maintenance, and ongoing support of IS Applications. The IS Revenue Cycle Application Manger is expected to obtain and maintain in-depth knowledge of workflows and system functionality. The position combines managerial responsibilities with a demonstrated technical expertise. The manager possesses excellent written and verbal communication skills and the expertise to translate technical terminology into concepts that are understandable by management, department heads, and performance level personnel. The manager leads the design of workflows and build in accordance with clinical / financial / ancillary requirements. The IS Revenue Cycle Application Manager is a representative of the Information Systems team and is responsible for establishing, fostering, and maintaining positive business relationships with Shepherd co-workers; Piedmont Healthcare; Epic partners; and all staff who use or interact with the Epic application suite.

JOB RESPONSIBILITIES

  • Effectively manage the Epic Application Analysts. Foster a positive, respectful working environment that clearly defines job roles, duties, and expectations.
  • Regularly establish goals and touchpoints with staff and provide feedback, encouragement, evaluation, discipline, and direction to optimize performance.
  • Perform management and administrative duties including timekeeping, staffing plans, on-call schedule, etc.
  • Lead projects involving interdisciplinary teams, adhering to hospital policy, regulatory requirements, and standards of practice.
  • Prioritize and manage projects and resources.
  • Proactively update project status tracking and complete necessary project status reporting.
  • Hold routine meetings with team members, partners, and managers to document and discuss the status of deliverables, shared issues, end‐user concerns, upcoming milestones, and project status updates.
  • Collaborate to identify, implement, and evaluate education and training needs for new hires, current hospital staff, super users, medical staff, and students based on their organizational role.
  • Monitor system performance and report any potential issues to the appropriate staff and managers.
  • Gather and analyze operational workflows, technical requirements and functional specifications for Epic applications and modules.
  • Design, build, validate and maintain detailed Epic application configuration.
  • Collect requirements and specifications for operational reports and data extracts.
  • Build, modify and maintain operational reports and extracts where appropriate.
  • Implement approved change requests and modifications, adhering to established system change control guidelines.
  • Demonstrate business and application expertise during workflow design, validation sessions, integrated work sessions, and on-going system optimization.
  • Perform application and integrated testing using structured test scripts, document results and follow up on identified issues.
  • Maintain current knowledge of clinical practice or business operations, hospital policy, regulatory requirements, and standards of practice within their assigned area of expertise.
  • Works with inter-disciplinary staff to ensure that Clinical/Financial/Ancillary systems support compliance with these standards.
  • Assign and review Nova Notes and participate in build, optimizations, testing and training necessary to implement Epic updates (IRDs, SU, RA’s) in the production environment.
  • Performs review of system requests, determining project and enhancement resources.
  • Leads the facilitation, prioritization and assignment based on application analyst’s bandwidth.
  • Assist with Epic Security assignment, security templates and maintenance where appropriate.
  • Participate proactively in issue prevention, communication, escalation, and resolution.
  • Develop and maintain system documentation and knowledge base articles.
  • Collaborate with Principal Trainers in the design and development of role-based training programs and educational materials.
  • Assist Application Training team with application training during peak demand.
  • Ensures on-going timely information transfer to peers and IT management regarding project status, resource needs or issues.
  • Remain current with trends in healthcare technology by actively seeking new information regarding systems software and hardware functionality.
  • Coordinates with Clinical/Financial/Ancillary systems team leads, IT staff and other departments, clinicians, physicians to maximize use and benefit of information systems.
  • Serve as contact and mentor, along with other members of Clinical/Financial/Ancillary systems group, for the super users across all departments.
  • Take Tier 2 On Call for afterhours user support on a rotating basis as necessary.
  • Maintain current licensure or certifications as appropriate.
  • Perform other related duties as required.

REQUIRED MINIMUM EDUCATION

  • Bachelor’s degree from a recognized college or university with major course work in Information Systems, Computer Science, Health Administration, Business Administration or related field or equivalent education, training and/or experience.

REQUIRED MINIMUM CERTIFICATION

  • This position requires appropriate Epic certification(s) are maintained for the specific areas of assigned management and responsibility.

REQUIRED MINIMUM EXPERIENCE

  • Three to five years of progressive professional and managerial work experience in clinical, business, or other healthcare operational areas. A minimum of two years working in a supervisory or lead role.

REQUIRED MINIMUM SKILLS

  • Strong personal ownership with the ability to set and meet high professional standards.
  • Working knowledge and subject matter expertise in the corresponding operational department areas of responsibility.
  • Experience with an Incident Ticket Management System and Project Management System (Service Now, Freshdesk, Zendesk, Jira, Workfront, MS Project, etc.)
  • Foster and maintain a commitment to provide outstanding customer service that reflects Shepherd Center’s mission and pillars of excellence.

PREFERRED QUALIFICATIONS

  • A graduate degree in a related field is desired.
  • Project Management Experience.
  • Ability to analyze multiple complex situations to create and implement solutions; work effectively in a team environment; be self-motivated and self-disciplined; communicate clearly and accurately in both verbal and written mode; accurately and concisely describe problems and solutions; focus on details; coordinate and prioritize multiple projects simultaneously.

PHYSICAL DEMANDS

  • Sedentary work for long periods of time.

WORKING CONDITIONS

  • No potential for exposure to blood and body fluids.
