Position Summary:

The Software & Hardware Asset Management (SAM/HAM) Specialist is responsible for managing the organization's IT assets throughout their lifecycle, including software licenses, hardware devices, inventory, asset compliance, procurement, deployment, maintenance, and retirement. This role ensures accurate asset tracking, software license compliance, inventory controls, cost optimization, audit readiness, and data integrity within IT Asset Management (ITAM), CMDB, and associated enterprise systems.

The position works closely with IT Operations, Service Management, Procurement, Finance, Information Security, Infrastructure, and Vendor Management teams to maximize asset utilization, reduce risk, and maintain compliance with organizational policies and vendor agreements.

Responsibilities and Essential Duties:

• Manage the complete software asset lifecycle, including request, procurement, deployment, maintenance, renewal, and retirement.
• Maintain accurate software entitlement and licensing records.
• Monitor software deployments and usage across the enterprise.
• Perform software license reconciliation and effective license position (ELP) analysis.
• Ensure compliance with software licensing agreements and vendor contracts.
• Identify unused, duplicate, or underutilized software licenses and execute reclamation activities.
• Support software vendor audits and compliance reviews.
• Manage SaaS subscriptions and cloud licensing models.
• Recommend software optimization and cost-saving opportunities.
• Develop and maintain software asset management policies, standards, and procedures..
• Manage the full lifecycle of hardware assets, including laptops, desktops, mobile devices, tablets, servers, network equipment, thin clients, printers, AV equipment, and peripherals.
• Track hardware assets from procurement through disposal.
• Ensure all assets are properly tagged, assigned, and recorded.
• Coordinate hardware refresh and replacement programs.
• Monitor hardware warranty, maintenance, and support contracts.
• Conduct lifecycle planning for end-of-life (EOL) and end-of-support (EOS) assets.
• Support asset redeployment and disposition processes.
• Work with vendors and procurement teams for hardware acquisitions and returns.
• Ensure proper asset disposal in accordance with security and environmental policies.
• Maintain accurate inventory records for all IT assets.
• Establish and enforce inventory control procedures and standards.
• Perform regular inventory audits and asset reconciliations.
• Manage warehouse and stockroom inventory levels.
• Track incoming and outgoing IT equipment.
• Maintain asset custody records and chain-of-custody documentation.
• Identify inventory discrepancies and drive corrective actions.
• Support physical inventory counts and cycle count activities.
• Ensure inventory accuracy across asset repositories and management systems.
• Manage asset lifecycle processes from planning and procurement through retirement and disposal.
• Ensure accurate asset ownership, location, and assignment tracking.
• Monitor asset utilization and identify optimization opportunities.
• Support technology refresh initiatives and lifecycle planning.
• Maintain asset documentation, configuration information, and associated records.
• Ensure retired assets are properly decommissioned and removed from inventory systems.
• Conduct routine software compliance assessments.
• Manage vendor audit requests and remediation activities.
• Validate software installations against purchased entitlements.
• Identify and mitigate licensing risks.
• Develop compliance reports and audit documentation.
• Coordinate internal and external software asset audits.
• Support adherence to corporate governance and compliance requirements.
• Collaborate with Procurement on sourcing, purchasing, and renewals.
• Review software and hardware contracts.
• Track maintenance, support, subscription, and warranty agreements.
• Assist in software and hardware budget planning and forecasting.
• Support vendor performance reviews and contract negotiations.
• Ensure assets received match purchase orders and contractual agreements.
• Create and maintain IT asset dashboards and KPI reports.
• Analyze software and hardware utilization trends.
• Provide compliance, inventory, lifecycle, and financial reporting.
• Track software consumption and hardware asset health.
• Present findings and recommendations to IT leadership.
• Identify opportunities for cost reduction and process improvement.
• Develop and maintain IT Asset Management policies and procedures.
• Support ITAM, SAM and HAM governance initiatives.
• Participate in process improvement projects.
• Ensure alignment with ITIL and industry best practices.
• Support internal and external audit requirements.
• Drive standardization of asset management processes across the organization.

Knowledge, Skills Abilities:

• Bachelor's Degree in IT, Computer Science, Asset Management and/or equivalent experience required
• Three (3) years or more of IT asset/inventory management experience required
• Time Management Good verbal (oral) and written communication skills.
• Good organizational skills and ability to multi-task and prioritize.
• Good computer skills in Excel and Word.
• Knowledge of inventory control and procurement.
• Ability to work independently in a fast-paced warehouse operation.
• Able to safely operate warehouse equipment such as pallet jacks and other material handling/industrial equipment.
• Must follow safe working practices in accordance with Company safety policies and practices.
• Must report for work regularly and on time, as scheduled.
• Must be able to take direction from supervisor(s) and works well with others.
• Must work well under pressure, and is able to organize and prioritize work assignments, and meet established deadlines.
• Knowledge of asset management software and tools
• Must perform assigned tasks accurately and completely.
• Strong knowledge of Excel, with ability to create macros and run analytical functions
• Must be flexible and able to handle changes in work requirements productively.
• Knowledge of MS Office suite Organizational Skills (work independently).
• Knowledge of IT hardware and software

Employees must be able to work weekends, holidays, days and night hours, and overtime as necessary and as assigned, and must be able to work in the condition specified for 8-10 hours shift as assigned. Travel requirements vary by assignment.
