Membership & Family Support Services Specialist


Work Schedule: Full time, non-exempt: To be scheduled generally Monday – Friday, between 8:00am - 7:00 pm with occasional late evenings and weekend responsibilities for programming, training and special events.

PRIMARY FUNCTION:

Under the direction of the Clubhouse Impact Director, the Impact Specialist for Membership and Family Support Services drives youth success through outstanding, Mission-driven and integrity-centered leadership and management. S/he is directly responsible for achieving the BGCMC’s Mission by providing outstanding customer service to reinforce a welcoming, positive Club environment, with special emphasis on instilling a sense of belonging among youth and parents. Additionally, the Specialist for Membership and Family Support Services is responsible for informing and engaging Club families with health related local resources.

Key Roles/Responsibilities

1. Youth Success

  • Create a welcoming environment for youth, parents and other stakeholders
  • Provide prompt, professional, courteous customer service for youth and the general public by knowing current program and activity offerings
  • Adhere to Membership Services protocols and procedures
  • Uphold BGCMC rules, operational values, etc. through a youth development approach
  • Enforce mandatory sign-in process for all Members, volunteers, visitors, and vendors
  • Provide weekly new member/parent orientations and instruct new members of Club rules and use of membership card
  • Respect the confidentiality of member, employee, and volunteer information
  • Ensure culture of high expectations and monthly recognition of youth for their efforts, achievements
  • Address youth behavior with a positive discipline approach that incorporates responsibility, accountability and appropriate consequences for their actions

2. Membership Management

  • Ensure the entry area, front counter and other work spaces are safe, neat, clean, and in order to provide outstanding customer service
  • Maintain Kidtrax database, collect and report accurate Membership data utilizing electronic and paper-based tracking tools
  • Comply with Monterey Peninsula Unified School District (MPUSD), Expanded Learning Opportunity (ELOP) data sharing agreement defined in the current Memorandum of Understanding (MOU) with BGCMC’s Seaside Clubhouse
  • Manage the MPUSD, ELOP membership data base, 6Crickets for the Seaside Clubhouse
  • Attend monthly MPUSD, ELOP meetings to stay up to date and current on collaboration with MPUSD ELOP programs
  • Stay up to date and current on all software updates and technical trends through consistent communication with KidTrax technical assistance
  • Maintain inventory, ensure equipment/supplies are in good working order and stewarded as intended
  • Communicate effectively using the public address system, phone, in person, e-mail and Blackboard system
  • Collect and record all fees accurately; issue and submit daily summary reports of all financial receipts per established membership SOP’s

3. Family Support Services Management

  • Provide families with information regarding community service agencies; refer families to appropriate service agencies such as Harmony at Home counseling services.
  • Plan, organize and implement parent education and support group workshops for families as needed
  • Ensure the participation of parents in the program including volunteer activities and parent support groups and meetings

4. Interdepartmental Collaboration

  • Collaborate with Marketing to promote and stimulate membership on behalf of the Club
  • Maintain daily tracking and reporting of the Catch the Bus Program in coordination with Operations
  • Identify any safety, transportation, maintenance, technology, and facility rental issues to Operations
  • Provide accurate record keeping of membership financial transactions and timely submission to Accounting
  • Collaborate with Development team by running data reports to identify eligible families, support shopping and auditing intake forms from families for Adopt-a-Family (AAF) for the Seaside Clubhouse

5. Community Relations

  • Oversee the orientation and intake and evaluation of volunteers and Service Learners and serve as the liaison for the volunteer program in collaboration with the Clubhouse Director
  • Represent the organization and interpret its objectives, standards, and programs
  • Maintain positive, collaborative working relationships with schools, businesses, other youth service organizations, clergy, law enforcement, community leaders and other stakeholders to achieve goals
  • Promote and enlists on-site opportunities for family services with public, education, and community organizations
  • Keep abreast of current trends in social services and emerging health care issues in our community
  • Oversee outreach efforts at BGCMC’s information booth in community events and other opportunities as assigned by the Clubhouse Director

6. Collateral Duties

  • Participate in training classes related to membership services and local family resources
  • Exercise authority when assigned as the closer of the building and when Manager on Duty when assigned by the Clubhouse Director
  • Perform other duties as assigned in alignment with fulfilling the primary function of position
