Job Summary: Under the direction of the Office Manager, the Office Clerk, provides general administrative, clerical, and customer service support for the school office. Performs a variety of front office functions including reception, student records management, data entry, document preparation, and office coordination while assisting students, families, staff, and visitors. Provides limited support for attendance processes as assigned.



What You Will Do

Administrative & Office Support

  • Creates, maintains, reviews, and organizes files, forms, records, correspondence, and reports for various school functions.
  • Performs data entry into various databases, including PowerSchool and other student information systems.
  • Prints reports and prepares routine correspondence, forms, and other documents.
  • Uses computer applications including word processing, spreadsheets, email, calendars, and database software to complete assigned duties.
  • Assists administrators and school staff with clerical and administrative projects.
  • Maintains office supplies, forms, and materials.
  • Process and distribute incoming and outgoing mail and packages.
  • Issue substitute and visitor badges in accordance with school procedures.
  • Maintain, organize, and fulfill requests for cumulative student records (cum files).

Customer Service

  • Greets and assists students, parents, staff, visitors, and community members in a courteous and professional manner.
  • Answers and routes incoming telephone calls; provides general information and responds to routine inquiries.
  • Receives, screens, and directs visitors in accordance with school safety and visitor procedures.
  • Assists with translation and interpretation services (English/Spanish), as needed.

Student Records & Data Management

  • Assists with maintaining accurate student records and confidential files in accordance with school policies.
  • Retrieves information from manual and electronic records to prepare reports and correspondence.
  • Assists with student enrollment, registration, withdrawals, transfers, and cumulative records, as assigned.
  • Supports data verification and record maintenance in student information systems.

General School Office Support

  • Calls parents to notify them of student absences and determine the reason for the absence.
  • Uses the telephone to request and provide routine information to parents and school district personnel.
  • Assists with translation and interpretation services (English/Spanish).



Professional Development & Other Duties

  • Participates in training, workshops, and professional development activities.
  • Performs other related duties as assigned.
