Operations Assistant - Rhythm Rides

Location: Niseko

Dates: December through to March

Wages: From ¥1,750 per hour

Reports to: Operations Logistics Manager - Niseko

Direct Reports: None

Scope: Kids Programs Support, Program Logistics, Vehicles, Staff Support and Operations Administration

Position Type: Seasonal hourly position, approximately 30 to 40 hours per week

The Role:

The Operations Assistant - Niseko provides practical day-to-day support across Rhythm Rides' Niseko operation, with regular rostered support for the Kids Multi-Day and Futures Seasonal Programs.

The role supports the back-office and logistical functions that keep programs running smoothly, including transport, vehicle support, staff and program logistics, administration, child check-in and program organisation. It works across departments according to daily priorities set by the Operation & Logistics Manager and relevant program managers.

The role does not own lesson or guide delivery, staff allocation, sales, bookings or formal guest communication. Its purpose is to provide reliable operational support so program managers, instructors, coaches and guides can focus on delivering high-quality guest experiences.

The Operations & Programs Assistant - Niseko is accountable for:

  • Reliable operational and logistical support across the Niseko Rides operation
  • Safe and organised support for Kids Multi-Day and Futures Seasonal Programs
  • Vehicles, equipment, materials and shared resources prepared as directed
  • Accurate program and operational administration
  • Professional support for staff, children and parents within assigned duties
  • Prompt communication and escalation of operational, guest or child-safety concerns

Key Responsibilities and Duties:

Kids Programs Support

  • Support the daily set-up and delivery of the Kids Multi-Day and Futures Seasonal Programs when rostered.
  • Assist with child check-in, attendance, group organisation, meeting points and end-of-day handover to parents or guardians..
  • Help instructors and coaches prepare equipment, teaching aids, program materials and lunch logistics.
  • Support the safe movement and supervision of children during transitions, breaks and designated off-snow activities.
  • Assist children with basic needs such as clothing, restroom breaks and simple equipment adjustments within approved procedures.
  • Maintain organised program spaces and ensure required materials and supplies are ready for daily use.
  • Escalate complaints, sensitive concerns or matters outside the role's authority to the appropriate supervisor or manager.

Program and Logistics Support

  • Support logistics across Private Lessons, Kids Programs, Training and other Rides programs when directed.
  • Drive staff or guests to lesson or program locations when required, including during operational disruptions or emergencies.
  • Assist with vehicle allocation, key handover, snow clearing, fuel checks and other daily vehicle-readiness tasks.
  • Purchase & Distribute lift passes to instructors for lessons & accurately track pass hours
  • Move equipment, materials and supplies between program locations as required.
  • Support seasonal set-up, peak-period operations, special events and end-of-season pack-down.
  • Assist standby instructors with approved non-teaching duties when directed by the Operation Logistics Manager or relevant program manager.

Staff and Day-of Support

  • Provide practical support at the staff support desk and direct questions to the appropriate manager or functional team.
  • Assist instructors and coaches with meeting-point, transport, equipment or other routine operational issues.
  • Help identify and communicate day-of changes or operational problems so the appropriate team can respond quickly.
  • Work collaboratively across Lessons, Kids Programs, Backcountry, Guest Services and Operations Logistics during peak periods or disruptions.

Child Safety and Wellbeing

  • Follow all child-safety, supervision, attendance and handover procedures when supporting Kids Programs.
  • Maintain a safe, positive and inclusive environment for children during assigned activities.
  • Promptly raise wellbeing, behaviour, equipment or safety concerns with the supervising Kids Programs leader.
  • Respond to incidents or injuries within the role's training and follow required reporting and escalation procedures.

Administration Support

  • Maintain accurate attendance, program notes, transport records and other routine operational records.
  • Support report preparation, data entry, filing, document preparation and general operations administration.
  • Complete Kids Program lunch-expense and other approved program-expense reconciliations, including receipts and supporting records.
  • Assist with staff scheduling, timekeeping, payroll inputs, program lists and other routine administration when requested.
  • Report missing information, discrepancies or recurring administrative issues promptly.

Role Boundaries:

  • The Operation Logistics Manager owns the role's roster, daily deployment and overall back-office operational priorities.
  • Kids Programs leadership owns program delivery, instructor or coach allocation, child-development decisions and parent progression communication.
  • Lessons and Backcountry managers own on-snow lesson or guide delivery and staff allocation.
  • Guest Services owns sales, bookings, payments, pre-arrival communication and general guest-service management.
  • This role does not supervise staff, allocate instructors or guides, approve refunds or make significant program or operational decisions.

  • Kids Programs supported safely, efficiently and professionally
  • Vehicles, materials and shared resources available when required
  • Accurate attendance, expense and operational records
  • Staff, children and parents supported in a friendly and practical manner
  • Strong teamwork and timely escalation of operational issues

What you need to succeed:

Qualifications and Experience

  • Experience in operations, administration, customer service, childcare, recreation, snowsports or a comparable seasonal environment.
  • Experience working with children is highly desirable.
  • Experience supporting logistics, transport or program operations is desirable.
  • First Aid certification or willingness to obtain it.
  • Valid Japanese or recognised international driver licence required, with confidence driving in winter conditions.

Skills and Attributes

  • Friendly, practical and comfortable supporting children, guests and staff.
  • Strong organisation, time management and attention to detail.
  • Clear communication and ability to work effectively across different departments.
  • Comfortable using computers for data entry, scheduling and record keeping.
  • Calm and adaptable in a busy seasonal environment.
  • Reliable, hands-on and willing to shift between program, transport, administration and logistics tasks as required.
