Job Summary
The Operations Coordinator is a critical hub role that keeps Hardman Signs’ installation and production operations running smoothly and on schedule. Working closely with the Installation Operations Manager, Scheduling, Inventory, Production, and field teams, this position coordinates day-to-day workflows, material readiness, project status tracking, and cross-departmental communication. The ideal candidate is highly organized, proactive, and detail-oriented—someone who thrives on solving operational bottlenecks so that installation crews can execute safely, efficiently, and to Hardman Signs’ high standards.
Essential Duties and Responsibilities
- Serve as a central coordination point between Sales, Production, Inventory, Scheduling, and Installation teams to ensure projects move from approval to field execution without unnecessary delays.
- Review approved work orders and project packages for completeness (scope, hardware needs, production status, deadlines, and site requirements) and flag gaps early.
- Support the development and maintenance of the master installation schedule by tracking production readiness, material availability, crew capacity, and permit status.
- Coordinate with Inventory and Production to confirm that finished signs, hardware, fasteners, and equipment are staged and ready prior to scheduled install dates.
- Communicate clear, timely updates and instructions to installation crews, including work order details, site-specific notes, safety requirements, and documentation needs.
- Track project status in real time (including Fieldwire or other field management tools), confirm job completion, and ensure billing packages are submitted accurately and promptly to Accounting.
- Assist with basic subcontractor coordination and COI tracking when external labor is required.
- Identify operational bottlenecks (material shortages, schedule conflicts, documentation issues) and escalate or resolve them with a sense of urgency and accountability.
- Maintain organized digital and physical project files, status reports, and operational dashboards for leadership visibility.
- Support continuous improvement of processes that strengthen Safety, Agility, Accountability, and Teamwork across the installation workflow.
