Operations Manager -
About the Role
The company is a UAE-based online will platform serving expatriates through the ADJD (Abu Dhabi Judicial Department) civil will registration route. This role owns the critical quality-control and submission layer between a client completing their will online and that will being correctly and successfully registered with the court. This is the single most consequence-sensitive function in the business — errors here mean rejected filings, delayed clients, and reputational damage — so accuracy and process discipline matter more than speed.
Reporting Line
Reports directly to the owner/General Manager.
Key Responsibilities
- Review every system-generated will document for completeness and accuracy prior to submission, using and maintaining a structured QA checklist
- Manage the end-to-end ADJD submission process: court fee payment coordination, portal submission, and tracking each case through to registration
- Liaise directly with the ADJD registry to resolve queries, rejections, or requests for clarification on submitted wills
- Coordinate with the translation vendor to ensure accurate, timely Arabic translation of each will document
- Maintain a clear audit trail/log for every case (submission date, status, any issues encountered and how resolved)
- Escalate ambiguous, unusual, or legally complex cases to the appropriate senior person rather than resolving independently
- Own and continuously improve written SOPs for the submission process — this documentation currently does not exist and is a core deliverable of this role
- Provide monthly reporting on submission volume, average turnaround time, and error/rejection rates
This role has the potential to scale up to a full-time hire within 3-4 months.
Skills
Required Background
- Prior paralegal, legal secretary, notary support, or court-liaison experience in the UAE — direct familiarity with ADJD, Dubai Courts, or DIFC administrative processes is a strong advantage
- Meticulous, checklist-driven working style — this role is about catching errors before they become problems, not moving fast
- Comfortable working independently with minimal existing documentation, while building that documentation as part of the role
- UAE residency and existing right to work
Preferred (Not Required)
- Prior experience specifically in wills, estate planning, or succession-related legal support
- Experience coordinating with external translation or notarization vendors
- Familiarity with legal consultancy or law firm back-office operations
- Bilingual Arabic/English (near non-negotiable given direct court liaison and translation vendor coordination)
