The Project Coordinator supports the day-to-day execution of semiconductor tool move-in, vibration-control foundation, and installation projects. The role involves coordinating manpower, logistics, documentation, and safety compliance to ensure smooth site operations within clean-room environments. The coordinator serves as a key link between the client, subcontractors, and internal teams, ensuring schedule adherence, resource readiness, and proper reporting.
Key Responsibilities
1. Site Coordination & Execution
- Assist Project Manager in daily site operations including move-in, installation, and foundation works.
- Prepare and update daily work schedules, manpower deployment plans, and progress tracking sheets.
- Coordinate with client’s site representatives, safety officers, and logistics teams for work permits, gate passes, and material movement.
- Oversee subcontractor activities to ensure compliance with work instructions and clean-room protocols.
- Support lifting and shifting operations by ensuring pre-task checks, floor protection, and equipment readiness.
2. Documentation & Reporting
- Prepare daily reports, photo documentation, and work progress summaries for client submission.
- Maintain project documentation including risk assessments, method statements, lifting plans, and toolbox records.
- Update cargo tracking lists, packing lists, and tool installation logs.
- Assist in preparing meeting minutes and following up on action items.
3. Quality & Safety Compliance
- Enforce EHS/WSH requirements in accordance with MOM, BCA, and client site standards.
- Conduct pre-task safety briefings and ensure workers comply with PPE and housekeeping rules.
- Support WSHO/WSHC in incident reporting and non-conformance close-out.
- Ensure safe handling of sensitive semiconductor equipment (e.g., CVD, PH, ET, Metrology tools).
4. Logistics & Material Handling
- Coordinate inbound/outbound deliveries, cargo inspection, and equipment staging at loading bays.
- Arrange forklifts, cranes, and other lifting equipment through approved vendors.
- Verify crate labels, tool IDs, and quantities against packing lists.
- Liaise with warehouse/transport teams for proper storage and dispatch planning.
5. Stakeholder Communication
- Serve as point of contact between client, subcontractors, and company HQ.
- Provide daily updates on progress, manpower, and issues encountered.
- Support PM in coordination meetings and prepare presentation materials as required.
