TITLE: Senior HR Executive – Human Resources & Administration

REPORTING TO: Assistant General Manager - Human Resources & Administration

WORKING WITH: Regional business units across International operations and India

WORKING DAYS: 5 days work week; Mondays - Fridays

WORKING HOURS: 0830hrs to 1730hrs

Position Overview:

The Senior HR Executive will bea key member of the HR team, responsible for managing end-to-end HR functionsincluding talent acquisition, talent management, compensation and benefits,employee engagement, employee relations, HRIS management, and officeadministration. This role will bridge the gap between administrative supportand human resource management, ensuring smooth HR operations and compliancewith local labour laws.

Key Responsibilities:

1. Talent Acquisition &Recruitment:

● Implement as advised effective recruitment strategiesthrough various channels including job portals, social and professionalnetworking sites, campus recruitment, job fairs, and government job placementprograms.

● Partner with hiring managers to understand talent needsand align recruitment processes accordingly.

● Manage the full recruitment lifecycle, includingsourcing, screening, interviewing, evaluating, and hiring candidates.

● Coordinate and manage internship programs and campusrecruitment activities.

● Prepare employment contracts.

● Manage the end-to-end onboarding process.

● Handle work pass applications for foreign hires,ensuring compliance with local regulations.

2. Talent Management & Employee Relations:

● Support compensation and benefits management, includingmanagement of end-to-end performance appraisal cycle, management and renewalsof employee health and travel insurances, job analysis processes, policydeployment etc.

● Handle employee relations issues, including grievances,queries, and complaints, ensuring prompt resolution and adherence to companypolicies.

● Conduct investigations into employee complaints,ensuring fair and consistent application of disciplinary actions whennecessary.

● Provide advice and guidance to employees on HRpolicies, procedures, and employment laws.

● Organize and support employee engagement initiatives,including company events, townhalls, and social events to foster a positivework environment.

3. Compensation & Benefits Management:

● Administer employee benefits including annual leaves,medical leaves, insurance, and other welfare programs.

● Handle NS claims, government claims, tax submissions,and other payroll-related matters.

● Support the annual bonus and salary review processes,including budget planning and analysis.

4. HR Operations & HRIS Management:

● Maintain accurate personnel records in the HRIS andensure compliance with all employment requirements.

● Review and update HR policies and procedures to ensurecompliance with ethical standards, local labor laws, and audit requirements.

● Manage post-implementation of the HRIS (Darwinbox),troubleshoot issues, and provide solutions to HR-related system queries.

● Prepare regular and ad hoc HR reports and support allHR-related surveys.

● Submit weekly HR reports as required.

5. Learning & Development:

● Administer learning and development programs andinitiatives, including the submission of government training grants.

● Coordinate employee training and development activitiesto support organizational growth and employee skill enhancement.

6. Compliance & Reporting:

● Ensure all HR practices comply with local labor lawsand company policies.

● Submit reports to the Ministry of Manpower (MOM) andother regulatory bodies as required.

● Stay updated on legislative changes and advisemanagement on compliance matters.

7. Employee Engagement & Relations:

● Lead and organize company events aimed at enhancingemployee engagement and fostering positive workplace interactions.

● Act as the primary point of contact for employeerelations matters, ensuring timely and effective resolution of grievances,queries, and complaints.

● Develop and implement strategies to enhance employeesatisfaction and retention.

● Conduct regular feedback sessions and employee surveysto gauge workplace morale and address concerns proactively.

8. Administrative Support & Travel Management:

● Manage office administration and facilities to supportefficient business operations.

● Coordinate business travel arrangements and relatedlogistics.

● Liaise with vendors and service providers for officeand administrative requirements.

● Support office events and general administrativeactivities.

9. Ad-Hoc Duties:

● Expatriate staff management.

● Support other HR and office management/administrationtasks as required.

● Participate in and support ad-hoc HR projects andassignments, such as career ladders, competency frameworks, and employeesurveys.

Qualifications:

● Diploma in Human Resource Management, BusinessAdministration, or equivalent.

● 5 – 7 years of relevant working experience in a humanresources position.

● Strong knowledge of human resources processes, bestpractices, and local labor laws.

● Experience with HRIS systems, preferably Darwinbox.

● Proficient in MS Office (Word, Excel, PowerPoint).

● Excellent communication and interpersonal skills.
