Senior HR Operations & Payroll Executive
Role Overview
We are looking for a hands-on and organised Senior HR Operations & Payroll Executive to support our regional HR operations across Singapore, Malaysia, Philippines, Indonesia and Hong Kong.
The role will focus on three key areas:
- Regional Payroll Administration – Malaysia, Philippines, Indonesia and Hong Kong
- Regional HR Operations – Singapore, Malaysia, Philippines, Indonesia and Hong Kong
- Singapore Office Management
You will work closely with the HR team, Finance, employees and external service providers to ensure payroll and day-to-day HR operations run smoothly and accurately.
Key Responsibilities
Regional Payroll Administration
Support monthly payroll processing for Malaysia, Philippines, Indonesia and Hong Kong, including:
- Collect, consolidate and prepare monthly payroll inputs
- Process new joiners, resignations and employee changes
- Update salary adjustments, allowances, deductions, bonuses, commissions and incentives
- Process unpaid leave and other payroll adjustments
- Verify employee payroll and bank information
- Conduct first-level checks on payroll calculations
- Prepare payroll reports for review and approval
- Coordinate payroll payments with Finance
- Liaise with external payroll vendors where applicable
- Handle standard employee payroll enquiries
- Support payroll reconciliation
- Maintain accurate payroll records and documentation
- Monitor payroll and statutory submission deadlines
Employee Lifecycle Administration
Support onboarding and offboarding across SG, MY, PH, ID and HK, including:
- Prepare employment contracts and standard HR documentation
- Collect and maintain employee documents and information
- Create and update employee profiles in HRIS
- Coordinate payroll, benefits and insurance enrolment
- Track probation and confirmation dates
- Prepare resignation acknowledgement and acceptance letters
- Coordinate employee clearance and final payroll information
- Process employee removal from applicable benefits and insurance
- Maintain complete and accurate employee personnel files
HR Documentation & HRIS
- Prepare confirmation, promotion, salary adjustment, transfer and other standard HR letters
- Maintain employee information and documents in HRIS
- Update employee salary, designation, department and reporting-line changes
- Maintain leave entitlements and approved adjustments
- Conduct regular checks to ensure employee information is accurate
- Support HRIS implementation, data migration and system clean-up
- Maintain proper HR filing and documentation for audit purposes
Benefits & Insurance Administration
- Coordinate employee insurance enrolment and termination
- Maintain employee benefits and insurance records
- Handle standard employee benefits and insurance enquiries
- Liaise with insurance providers and brokers
- Support annual insurance renewals
- Ensure employee benefit changes are updated accurately and on time
Singapore Office Management
Manage the day-to-day administration and operations of the Singapore office, including:
- Act as the main point of contact for general office matters
- Liaise with building management, vendors and service providers
- Coordinate office maintenance, repairs, cleaning and servicing
- Manage pantry, stationery and general office supplies
- Monitor inventory and replenish supplies when required
- Manage employee office access and related administration
- Coordinate office equipment, facilities, deliveries and courier requirements
- Maintain office asset and equipment records
- Source and compare vendor quotations where required
- Coordinate office-related invoices and payments with Finance
- Support internal office activities and employee events
- Maintain office house rules and general workplace standards
- Handle general employee office and facilities enquiries
- Identify opportunities to improve office operations and manage costs effectively
General HR Administration
- Respond to standard employee HR enquiries
- Maintain HR trackers and employee records
- Prepare routine HR reports
- Support HR audits and compliance documentation
- Coordinate government employment or statistical surveys where required
- Provide administrative support for regional HR initiatives
- Support other ad-hoc HR operational requirements
Requirements
- Diploma or Degree in Human Resources, Business Administration or a related discipline
- 2–4 years of relevant HR operations, payroll or HR administration experience
- Hands-on payroll experience is preferred
- Regional HR or payroll exposure will be an advantage
- Experience using HRIS and/or payroll systems
- Good working knowledge of Microsoft Excel or Google Sheets
- Strong attention to detail and accuracy
- Highly organised with the ability to manage multiple deadlines
- Comfortable handling confidential employee and payroll information
- Good communication and stakeholder management skills
- Resourceful, proactive and willing to be hands-on
- Able to work independently in a fast-paced environment
