Service Administrator / Support Administrator

The Service / Support Administrator is responsible for executing day-to-day transactional and administrative activities across service operations, ensuring accuracy, timeliness, and compliance with established procedures. The role includes cost tracking, executing billing, intercompany processes, managing purchase requisitions and orders, maintaining system data and records, supporting time reporting, coordinating logistics and training arrangements. The Service / Support Administrator ensures data integrity in SAP/IFS and LMS systems, supports finance activities during month-end closing, and maintains audit-ready documentation while adhering strictly to standard operating procedures and escalating exceptions when required.

What you will do
- Time, Cost & Billing Administration
- Consolidate and validate SDEs’ time reporting and overtime.
- Follow-up on missing hours, open costs and expenses submissions.
- Execute intercompany billing and rebilling processes.
- Manage Flex Zone hours replication and service record entries.
- Create and update Service Contracts.
- Supporting Service Order creations.
- Financial & System Data Maintenance
- Perform housekeeping activities in SAP/IFS systems.
- Support Finance in book-closing activities (accruals, quotations, down payments, debit/credit memos etc.).
- Procurement & Order Administration
- Raise and manage Purchase Requisitions (PRs) and convert them into Purchase Orders (POs).
- Track order status and coordinate logistics and goods receiving (GR).
- Compliance & Documentation
- Maintain accurate records for audit readiness.
- Follow SOPs and escalate exceptions when needed.
- Training Coordination & Logistics
- Coordinate training logistics (enrollment, classroom booking, equipment set-up, catering and other practicalities for smooth training execution).
- Prepare and distribute training materials.
- Maintain training records in LMS/POMS or other internal systems.
- Support visa documentation and invitation letters for international training participants.
- Welcome and assist training participants on arrival
We believe you have
- Minimum 1-3 years. Experience of invoicing and reporting will be preferred
- SAP system knowledge
- Excellent knowledge of Microsoft office specially Excel
