Job Description

Inventory & Material Management

• Überwachung der Materialkontrollaktivitäten zur Sicherstellung von Bestandsgenauigkeit und Rückverfolgbarkeit.

• Steuerung der Lagerbestände sowie Umsetzung von Maßnahmen zur Vermeidung von Kapazitätsengpässen und zur Optimierung der Lagerflächennutzung.

• Planung und Umsetzung von Projekten zur Optimierung von Lagerprozessen und Lagerstrukturen.

• Überwachung und Durchführung von GMP-relevanten Aktivitäten im Lager- und Logistikbereich, einschließlich Inventurzyklen (Cycle Counting) und unabhängiger Kontrollen bei JIT-Umetikettierungen, als wesentlicher Kontrollpunkt zur Sicherstellung der Integrität und Compliance aller Prozesse.

• Koordination von Aussonderungs- und Vernichtungsaktivitäten einschließlich Probenentsorgung (Retain Sample Management) gemäß genehmigten Verfahren.

• Durchführung regelmäßiger Lagerbegehungen zur Überprüfung von Compliance, Ordnung und Sauberkeit sowie operativer Effektivität.

• Überwachung des Materialmanagements einschließlich ordnungsgemäßer Handhabung und Dokumentation.

• Unterstützung von SAP-Prozessen sowie Tätigkeit als Key User für lager- und bestandsbezogene Abläufe.

• Planung und Koordination von Materialtransfers zwischen WAG und externen WAG-Lagern unter Berücksichtigung der verfügbaren Lagerkapazitäten sowie der Produktions- und Distributionsplanung.

• Entsorgung identifizierter Materialien gemäß WAG-Richtlinien in enger Zusammenarbeit mit dem Lagerpersonal und der WAG EHS-Gruppe.

• Überwachung temperatursensitiver Lagerbereiche in externen Lagern.

• Verwaltung von Bestellungen (Purchase Orders) im Zusammenhang mit Lager- und Distributionsaktivitäten.

• Berechnung von Lagerwerten für Versicherungs- und Finanzberichtsanforderungen.

Qualitätssysteme und Compliance

• Management von Abweichungen, Untersuchungen, CAPAs und Change Controls gemäß geltenden Verfahren und regulatorischen Anforderungen.

• Koordination von Reklamationsuntersuchungen und Sicherstellung einer fristgerechten Bearbeitung.

• Erstellung, Prüfung, Aktualisierung und Pflege von SOPs, Arbeitsanweisungen und kontrollierten Dokumenten.

• Unterstützung bei der Aktualisierung von QMS-Kapiteln und qualitätsrelevanter Dokumentation.

• Unterstützung bei internen und externen Audits sowie behördlichen Inspektionen.

• Erstellung von Auditantworten sowie Management auditbezogener CAPAs.

• Sicherstellung der Einhaltung von GMP-, GDP-, EHS- und unternehmensinternen Qualitätsstandards.

• Fristgerechte Absolvierung aller vorgeschriebenen Schulungen gemäß Trainingsplan.

Operative Exzellenz und Projekte

• Leitung und Unterstützung von Projekten wie Simulationsstudien, Lageroptimierungsinitiativen und Programmen zur Prozessverbesserung.

• Entwicklung, Überwachung und Pflege operativer sowie qualitätsrelevanter Leistungskennzahlen (KPIs).

• Unterstützung bei der Entwicklung und Umsetzung von Distributionsplänen zur Sicherstellung einer unterbrechungsfreien Versorgung.

• Identifizierung von Verbesserungspotenzialen in Prozessen sowie Umsetzung nachhaltiger Optimierungsmaßnahmen.

Inventory & Material Management

• Oversee material control activities to ensure inventory accuracy and traceability.

• Manage inventory levels and implement measures to prevent capacity constraints and optimize storage space utilization.

• Plan and implement projects to optimize warehouse processes and storage structures.

• Oversee and perform GMP-relevant activities in warehouse and logistics operations, including cycle counting and independent checks for JIT relabelling, as a key control point to ensure process integrity and compliance.

• Coordinate disposal and destruction activities, including retain sample management, in accordance with approved procedures.

• Conduct regular warehouse walk-throughs to verify compliance, orderliness, cleanliness, and operational effectiveness.

• Monitor material management activities, including proper handling and documentation.

• Support SAP processes and act as key user for warehouse- and inventory-related processes.

• Plan and coordinate material transfers between WAG and external WAG warehouses, considering available storage capacities as well as production and distribution planning.

• Monitor temperature-sensitive storage areas in external warehouses.

• Manage purchase orders related to warehouse and distribution activities.

• Calculate inventory values for insurance and financial reporting requirements.

Quality Systems and Compliance

• Manage deviations, investigations, CAPAs, and change controls in accordance with applicable procedures and regulatory requirements.

• Coordinate complaint investigations and ensure timely completion.

• Create, review, update, and maintain SOPs, work instructions, and controlled documents.

• Support updates to QMS chapters and quality-related documentation.

• Support internal and external audits as well as regulatory inspections.

• Prepare audit responses and manage audit-related CAPAs.

• Ensure compliance with GMP, GDP, EHS, and internal quality standards.

• Complete all required training on time in accordance with the training plan.

Operational Excellence and Projects

• Lead and support projects such as simulation studies, warehouse optimization initiatives, and process improvement programs.

• Develop, monitor, and maintain operational and quality-related key performance indicators (KPIs).

• Support the development and implementation of distribution plans to ensure uninterrupted supply.

• Identify process improvement opportunities and implement sustainable optimization measures.

Requirements/Competencies:

• Bachelor’s degree or completed apprenticeship; Bachelor’s degree preferred.

• Good understanding of GMP/GDP requirements, quality systems, deviation, CAPA, and change control processes, as well as regulatory expectations in a compliance-oriented environment.

• Several years of experience in writing deviations, CAPAs, and changes.

• Strong German and English language skills, both written and spoken, preferably at C1 level or above.

• Good working knowledge of SAP and Microsoft Office.

• Strong attention to detail, independent and structured working style, and sound judgment in a regulated environment.

• Strong collaboration and communication skills for effective cross-functional collaboration and support of operational teams.
