Sr. Executive Assistant

Job Summary

Location: This is a hybrid role; employees are expected to work from the Mountain View office 3 times a week.

We are seeking a forward-thinking Senior Executive Assistant (EA) to serve as a strategic operational partner to our Chief Executive Officer. In this critical role, you will act as an extension of the CEO, optimizing their time, streamlining executive operations, and ensuring key business priorities move forward smoothly.

Key Responsibilities

Strategic Calendar/Time Optimization and Project Execution

  • Masterfully manage and curate the CEO’s calendar, prioritizing high-impact engagements and protecting time for strategic focus.
  • Proactively resolve complex scheduling conflicts with quick judgment and business context.
  • Serve as the primary, polished point of contact for internal teams, board members, key partners, and external stakeholders.
  • Spearhead the planning and execution of executive offsite, board meetings, leadership events.

Meeting Facilitation & Action Tracking

  • Prepare, organize, and distribute high-quality meeting agendas, briefing materials, and presentations prior to executive sessions.
  • Attend key leadership meetings, capture strategic action items, and proactively follow up across teams to ensure accountability and completion.

Seamless Travel & Logistics Management

  • Design and manage end-to-end domestic and international travel itineraries, including flights, lodging, local transport, and detailed travel briefs.
  • Provide agile, real-time support for last-minute adjustments, unexpected delays, or itinerary changes.

Cross-Functional Relationship Management

  • Build strong, trust-based relationships across all levels of the organization to facilitate seamless cross-departmental communication; collaborate closely with other admins and cross-functional teams.

Qualifications

  • Track Record: 5+ years of experience as an EA or Chief of Staff supporting C-Suite executives, ideally in a fast-paced or high-growth environment.
  • Tech-Savvy: Expert proficiency with modern productivity suites (e.g., Google Workspace, Slack, etc.), project management platforms, and digital scheduling tools.
  • Proactive Anticipation: Exceptional ability to "read the room," spot roadblocks before they occur, and solve problems autonomously.
  • Polished Communicator: Superior written, verbal, and interpersonal communication skills with a refined professional posture.
  • Impeccable Discretion: Uncompromising integrity and experience handling sensitive corporate and personal information.
  • Adaptability: High emotional intelligence, calm under pressure, and a flexible mindset when priorities pivot.
  • Education: Bachelor’s degree preferred, or equivalent practical experience.


Salary Range: $135,000 – $155,000
(Actual compensation will be based on experience, location, and other relevant factors.)
