About the Role
The NDIS sector is entering a period of significant change. Stronger regulation and mandatory registration are already increasing demand for our core services and supports. The systems and processes underneath delivery, customer service, sales, and marketing either carry Provider+ through this wave of growth while maintaining quality and service levels, or hold it back.
Working directly with the CEO and COO, you'll own the internal engine - the systems, processes, workflows, and technology stack that power the business, and the team that runs alongside you to build it. Bringing a genuine love of process and a track record of building things from scratch, you'll create the foundation that customers never see and every team depends on, as we continue to grow.
What You'll Be Doing
Building and improving the key processes and systems that let the company scale - with real visibility, productivity, and efficiency built in.
Capturing the knowledge currently trapped in people's heads - centralising and embedding it into clear, documented, repeatable processes so we carry no key-man risk.
Building the data foundation that makes real AI enablement possible, and driving where AI adds genuine value.
Getting hands-on inside our core technology stack (primarily HubSpot) owning and optimising the platforms every team relies on, not just directing someone else to.
Building capacity and utilisation visibility from a standing start, so leadership finally sees what's really going on.
Leading a small team of specialists - setting direction, holding standards, and running a real operating rhythm.
Managing vendor relationships relevant to systems and process.
Who This Role Is For
You love process, making things simple, improving efficiency and visibility isn't a chore for you, it's what lights you up.
You're strong with systems and technology (e.g. HubSpot) you understand systems architecture and how everything interrelates, you're hands-on overseeing how to make it work better, not just briefing someone else to do it.
You make an impact. You’ve had experience in building meaningful processes and systems that moved the needle in a key area(s) like delivery, operations, or customer service.
Mess doesn't faze you. Walk into chaos and you'll have it mapped, structured, and optimised within months, not years.
You've been here before. Small and medium size businesses are what you know - not just large enterprise where the systems were already built for you.
You treat knowledge as a business asset - how it's captured, documented, and protected from walking out the door with any one person.
You have high standards - for how things run, for what customers experience, for what your teammates get to work with - and you're always asking, "how could this be better?"

What This Role Is NOT
To be direct, this role isn't right for everyone, and we'd rather be upfront. This role is not for you if:
You're a pure IT, infrastructure, or technical support specialist. This isn't an IT role - HubSpot and our tech stack are tools in service of the business, not the job itself. We need someone who thinks business-and-delivery-first, technology-second.
You've only ever managed stable, inherited systems. We need a builder, not a maintainer.
You're primarily a people manager who sees systems and tooling as someone else's problem.
You need clear direction and defined playbooks to feel confident. This environment requires you to drive outcomes independently.
You only have experience working at the institutional level. We need someone who has ground floor experience working inside small to medium sized businesses.
You need deep NDIS or disability services experience to feel qualified. We have that expertise across the team — we need a world-class systems operator.
