Talent Acquisition & HR Operations Executive
Job Responsibilities
Talent Acquisition
- Support end-to-end recruitment activities for both corporate and frontline/operational positions, including job posting, sourcing, screening, interview coordination and offer preparation.
- Work closely with the Recruitment Lead and hiring managers to understand hiring requirements and ensure timely recruitment delivery.
- Maintain recruitment trackers and provide regular updates on hiring progress.
- Coordinate with recruitment agencies and other external recruitment partners when required.
- Support recruitment events, career fairs and other talent acquisition initiatives.
Onboarding & Work Pass Administration
- Coordinate pre-employment and onboarding processes to ensure new hires are ready for their first day.
- Prepare employment-related documentation, including offer and onboarding documents.
- Handle work pass administration, including applications, renewals, cancellations and related documentation for EP, S Pass and Work Permit holders.
- Coordinate required pre-employment checks, medical examinations and supporting documentation.
- Conduct or coordinate new employee onboarding and orientation.
Employee Lifecycle Administration
- Maintain employee lifecycle trackers and prepare documentation for probation confirmation, employment changes, transfers and other employee movements.
- Follow up with managers on employees due for probation review and ensure confirmation documentation is completed on time.
- Coordinate new hire setup, including relevant employee groups, mailing/distribution lists and other onboarding arrangements.
- Ensure employee information and HR records are accurately maintained and properly filed.
Benefits & Employee Care
- Administer selected employee benefits and welfare programmes, including regular benefit credits/top-ups and employee eligibility records.
- Coordinate employee care arrangements such as birthday benefits, hospitalisation/well-being support, bereavement condolences and other employee welfare initiatives.
- Maintain accurate records and ensure benefits and employee care activities are completed according to the required timeline.
HR Operations Support
- Maintain accurate HR documentation, trackers and employee records.
- Support periodic HR reporting and data preparation.
- Assist with other HR operational matters and projects where required.
Requirements
- Diploma or Bachelor's Degree in Human Resources, Business Administration or a related discipline.
- 2 years or above of relevant HR experience, preferably with hands-on exposure to recruitment and HR operations in Singapore.
- Experience handling end-to-end recruitment independently; exposure to both frontline/volume hiring and corporate recruitment would be an advantage.
- Practical knowledge of Singapore work pass processes, including EP, S Pass and Work Permit administration, is preferred.
- Familiarity with onboarding, probation confirmation, employee documentation and general employee lifecycle administration.
- Good understanding of Singapore employment practices and basic MOM requirements.
- Strong organisational skills with the ability to manage multiple recruitment and HR administrative tasks concurrently.
- Detail-oriented and able to maintain accurate employee records, trackers and documentation.
- Comfortable working in a fast-paced and hands-on HR environment with changing priorities.
- Good communication and stakeholder coordination skills.
- Good command of both English and Mandarin, with the ability to communicate effectively with employees and stakeholders from diverse backgrounds.
